Presentation

Choosing the right presentation solution

Putting documents in the right format makes a big difference to how they’re received and how long they last. Start with the end use. A permanent display points you towards display books, a handout or leave‑behind suits presentation folders and binders, and a reusable file with quick updates fits report files and covers. Match the size to your content too, with A3 for bold visuals, A4 for most documents, and A5 for compact notes or manuals. Then check capacity and mechanism, from a ready-made folder with plastic sleeves, to ring binders for flexible updates, or spine bars and clip files for fast binding without punching. Finally, choose a material that balances toughness, smart looks and sustainability for your workplace.

Main product groups and when to use them

Here’s how the core options line up against typical workplace tasks.

Display books: Bound books with fixed clear pockets, ideal for menus, portfolios and training packs that should not be re-ordered frequently.
Presentation folders & binders: Ring binders with a clear overlay or panorama sleeve for custom covers, great for proposals, client packs and reusable project files. An A4 presentation folder is the everyday choice, while an A5 presentation folder works well for compact briefs.
Report & clip files: Slim files with a prong, clip or fastener to secure punched papers, best for interviews, meetings and short reports that you update from time to time.
Report covers & spine bars: Front and back covers with slide-on bars to create a neat bound report without a machine, good for one-off submissions and tidy hand-ins.
Adhesive/sign pockets and accessories: Self-adhesive sleeves or pockets to add inserts, labels or signage in a clean, visible way alongside your main file.

Size guide: which document size fits the job?

Pick the document size that shows your content clearly without adding bulk.

Variant	Typical uses	Advantages
A3	Visual plans, charts, design proofs, classroom or workshop materials	Extra space for large graphics, pairs with A3 ring binders and covers
A4	Most reports, proposals, A4 presentation handouts	Widest choice of display books, presentation folders, ring binders and accessories
A5	Compact manuals, price lists, field notes	Portable, an A5 presentation folder keeps essentials tidy for on-the-go meetings

Materials, finish and sustainability

Polypropylene (PP) is light, tough and wipe‑clean, so it suits display books, report files and binders that see daily use. PVC has a smooth, premium feel that works well for presentation binders and folders with clear overlays when a smart finish matters. Cardboard or paper options cut down plastic and suit short-term or internal use, especially when paired with spine bars or report covers for a tidy result. To align with purchasing policies, look for recycled content and recognised marks such as Blue Angel, FSC or GRS, which help you pick lower‑impact options without giving up function. Many of these formats are stocked by Viking in A3, A4 and A5 so you can standardise across teams.

Did you know?

Viking presentation products cover everyday needs like A4 display books (10-40 pockets) and polypropylene report files, so staff can collate handouts, store meeting notes and share proposals neatly without loose sheets. Their own-brand range focuses on practical touches such as durable PP covers, clear pockets for quick viewing, and mixed pack options for colour-coding at good value.

Questions & Answers

What’s the difference between a display book and a presentation folder?

A display book is a bound booklet with fixed, clear plastic pockets, ideal for handing out or storing a set sequence of pages with a tidy, book-like feel. A presentation folder (including a presentation ring binder) lets you add, remove and rearrange sheets or pockets, and often has a clear overlay for a customised cover. Choose a display book for a finished pack that will not change, and a presentation folder if you want a refillable system you can update. If you need a folder with plastic sleeves, look for display books or binders that accept punch pockets.

How do I choose between A3, A4 and A5 for presentations?

Match size to viewing distance and content. A4 is the standard choice for most handouts and an a4 presentation in meetings, as it balances readability and portability. Use A3 when you need bigger visuals like charts viewed across a table or on stands, and pick an a5 presentation folder for compact product sheets or packs carried on the move. Also consider availability, since A4 offers the widest range of display books, presentation folders and binders.

How many pockets or sheets do I need for a presentation pack?

Count your pages, then allow a little headroom so it is not crammed. For example, a 20‑pocket display book holds up to 40 single-sided pages, while sheet capacities on report files and binders refer to loose papers, not pockets.

Should I pick polypropylene, PVC or cardboard for my presentation materials?

Polypropylene (PP) is lightweight, tough and scuff resistant, good for everyday use and frequent handling. PVC gives a smooth, more rigid feel and often clearer cover overlays on an a4 presentation folder or an A5 version, though it can be heavier. Cardboard (often with a PP cover) gives a professional look and is easier to recycle when unlaminated, but it is less wipe-clean. If durability and moisture resistance matter most, choose PP or PVC, and if sustainability is the priority, look for recycled PP or FSC-certified cardboard.
